How to scan a stack of business cards

1. Upload the images

   Drag in photos of the cards, or a single ZIP archive if they are already sitting in one folder. The whole batch is handled in one pass, so there is no tapping through cards one at a time.

2. Review the table

   Every card becomes a row. Fields the AI filled in are highlighted, so a misread phone number is easy to spot and correct, and a card you did not mean to include can be dropped before anything is exported.

3. Export

   Download a CSV or a vCard file, or send the contacts straight into your ConnectMachine network.

Export to CSV, Excel, or vCard

To convert a stack of business cards into a spreadsheet, upload the photos and download the CSV. The file opens directly in Excel, Google Sheets, or Numbers.

Every column the scan produced comes across: name, job title, company, email, phone, and website, one contact per row. A card carrying two phone numbers gets a second phone column rather than both numbers crammed into one cell, so nothing needs unpicking later.

Choose the vCard file instead when the contacts are headed for an address book rather than a spreadsheet. A .vcf file imports into Apple Contacts, Google Contacts, and Outlook with no mapping step, and it carries the same fields.

Send scanned cards to your CRM

Most CRMs accept a CSV import, so the quickest route is to download the file and map the columns once in HubSpot, Salesforce, Pipedrive, or whatever you run.

What the business card scanner reads from each card

Each card is read for the details you would otherwise retype:

• Full name
• Job title
• Company
• Phone numbers, including a second or third line when the card carries one
• Email address
• Website and social handles

Cards in English, Spanish, French, Italian, and Russian are all read the same way, and a mixed batch is fine. Anything the scan is unsure about is flagged in the review table so you can fix it before exporting.

Supported formats and limits

Upload JPG, PNG, or WebP images, or a single ZIP archive containing them. The total upload is capped at 5 MB and up to 10 cards go through in one batch.

A larger pile still works: split it into two uploads and export each one. Photos taken on a phone are fine as long as the card fills most of the frame and the text is in focus.

What happens to the images you upload

Scanning creates no account, and your scan is not attached to one. Images are uploaded securely from your browser to ConnectMachine storage, used to run the scan you asked for, and deleted once it is done. We do record the IP an upload came from, since that is what keeps a free and open tool from being abused.

Reading and enriching a card involves trusted third-party providers, with access limited to what the scan needs. The text that comes back is stored so the review table can render it and so your export works. Nobody else can browse your scan.

Fields a card leaves blank, such as a job title or a company name, can be filled in for you. Anything added that way is marked in the review table, so you can always see what came from the card itself and what did not.
